1. What this covers
Teacher Agenda ("the App") is a daily lesson-board and classroom checklist tool used by schools. Each school registers its own Google Workspace domain, and signing in with an address at that domain is what makes an account part of that school. Both teachers and students use it, and this policy describes what is stored for each.
2. What we store
For everyone who signs in:
- Name, email address, and profile picture from your Google account.
- Whether the account is a teacher or a student, and for students the graduation year, both derived from the email address.
- Sign-in sessions, including IP address and browser user-agent, used to keep you logged in and to end sessions when you sign out.
- A link between your Teacher Agenda account and your Google account. Google's sign-in tokens are discarded as soon as sign-in finishes; the App keeps no way to act on your Google account.
For teachers:
- Course, unit, and lesson content you write, including daily boards and student step-by-step checklists.
- Class rosters, and settings such as room number, display name, and who your sub plans are addressed to.
- Images you upload to a board.
- What you type into the AI helper, and what it wrote back, kept so you can see and reuse past drafts.
- How you use the menu - which items you open and, when a search finds nothing, what you searched for - used only to improve the menu. This is recorded for teachers only.
For students:
- Which classes you are enrolled in.
- Which checklist steps you have marked complete, and when. These records are used for grading — completing the checklist is how participation credit is recorded.
- The optional "Got it / Shaky / Lost" rating you can give any step, and when you later mark it resolved. This is never used for grading. It is shown to your teacher so they know which parts of a lesson to go back over.
- Any smaller steps you write for yourself under one of your teacher's steps ("Break it down"), and which of them you have ticked off. Only you and your teacher can see them, and they are not graded.
- Your answers to check-for-understanding questions, and whether each was correct. These are not graded.
- Notes you write under a step, and whether and when you turned them in. Only you and your teacher can read them. They are saved as you type, they are plain text, and they are not sent to the AI helper or to anyone else. Your teacher decides what to do with them.
- The colour theme you choose is saved to your account, so it follows you to other screens. The other ways you make the app your own (the mark for finished steps, how big your steps read, a picture for each class, and a personal goal for the day) are kept only in your own browser. They are not sent to us or to your teacher.
- Independent projects your teacher puts you on: the plan and milestones your group writes, your own daily tasks and milestone reflections, what you hand in, and your teacher's mark and feedback. Teammates see the shared plan and who has handed in, never each other's reflections or marks. The mark is part of your grade; the tasks and reflections are not.
- Professionalism self-evaluations, when your teacher opens one: your 1-4 rating in each category and any comment you add, alongside your teacher's rating of the same categories and their comment. These are not graded.
3. Who can see student data
- A student can see their own progress and nobody else's.
- A teacher can see everything listed above for students enrolled in their own classes, and nothing for students in anyone else's.
- Teachers who teach the same course can compare how each class did on a lesson - the share of steps done, ratings, and correct answers, as percentages for the whole class. Nobody is named, and a colleague's class with fewer than 5 students shows no numbers at all.
- A teacher can give school administrators a private link showing their boards and class-level counts. It names no students, hides counts for classes under 5, and the teacher can replace the link at any time, which ends the old one.
- Parent share links show lesson content, the teacher's name, and the school only. They never include student names, progress, or ratings, they require no sign-in, and they ask search engines not to index them - but treat them as public once shared.
- Student data is not sold, rented, used for advertising, or used to train any AI model.
4. AI features
Lesson drafting, checklist generation, check-for-understanding drafting, and similar helpers send lesson titles, learning objectives, board text, and what the teacher types into the helper to Groq for processing. When a teacher imports a lesson from a Word, PDF, or text file, the text of that file goes to Groq as well, one class day at a time. The file itself is read in memory and is not stored; only the boards the teacher approves are saved. The App never sends student names, email addresses, answers, ratings, or grades to Groq. Teachers are asked not to type anything about a particular student into the helper, since whatever is typed there is sent as written. AI output can be wrong; teachers review it before it reaches students.
5. Services we rely on
- Google — sign-in only. The App has no access to your Gmail, Drive, or Calendar.
- Neon — the PostgreSQL database where all of the above is stored.
- Vercel — hosting, and Vercel Blob for images uploaded to boards. Uploaded images are reachable by anyone with their address.
- Groq — AI processing of lesson text, as described above.
The App sends no email. Sub plans are downloaded or copied by the teacher and sent however they choose.
6. Getting, correcting, and deleting data
- Records are kept for the school year so grades and history stay available, and are removed when the school asks or when an account is deleted.
- A teacher can download a class's gradebook as a spreadsheet, and a copy of everything held about any student in their classes.
- A teacher can remove a student from a class, which also erases that student's checklist, ratings, own step breakdowns, answers, and self-evaluations for that class.
- The school's Teacher Agenda administrator can download everything held about a student across the school, and can delete a student's account, which erases every record listed above for that student.
- Students and parents can ask what is held about a student, or ask for it to be corrected or deleted, through the student's teacher, the school, or the address below. Requests are handled by the school, since these are the school's records.
- Signing out on a shared device also clears the pages the App had saved on that device.
7. Student records and the school
Because completion records are used for grading, they form part of a student's education record. The App is operated on behalf of the school the account belongs to, and that school directs how those records are handled, retained, and disclosed. Each school's records are separated from every other school's: boards, rosters, calendars, and student progress are only ever visible inside the school they belong to. Questions about your rights in your student's education records should go to your school in addition to the contact below.
8. The waitlist
Joining the waitlist stores the email address, school or district, and role you enter, plus your name and a note if you add them, and which page of the site you used. We use these only to write to you about Teacher Agenda opening to other schools, and to decide which schools to admit early. The waitlist is for teachers and administrators, and it collects nothing about students. We do not sell or share the list, and the people who run Teacher Agenda are the only ones who can read it. To remove your entry, write to the address below and we will delete it.
